Booking Terms & Conditions
Please ensure that you have read the following booking terms and conditions carefully prior to making your booking. By making a booking, you acknowledge that you understand and agree with the terms and conditions outlined below:
1. Definitions
- Client/Traveller/You: Refers to the person or persons booking the tour with Wavecrest Tours.
- We/Us/Company: Refers to Wavecrest Tours, the tour operator responsible for providing the services outlined in your booking.
2. Your Details
When booking with us, you must provide all requested details. These details may vary by service and include, but are not limited to:
- Full name as per passport
- Date of birth
- Nationality
- Contact details
- Address
- Any pre-existing medical conditions that may affect your ability to complete your travel arrangements
Failure to provide the requested details may result in the immediate cancellation of your booking.
3. Confirmation of Bookings and Prices
Your booking is confirmed and a contract exists when Wavecrest Tours issues a confirmation letter via email or message after receipt of the applicable deposit. Ensure you check your email or message to confirm your booking details carefully and contact our team immediately if there is any incorrect or incomplete information.
Under exceptional circumstances, Wavecrest Tours may make changes to a booking after confirmation, including rescheduling, cancellation, or price changes.
4. Trip Rescheduling or Cancellation
A trip may be rescheduled or cancelled due to, but not limited to:
- Unpredictable bad weather affecting the ability to proceed with the trip
- Small group tours with fewer than 4 participants
5. Changes to Your Booking
- Changes by You: If you wish to make any changes to your booking, please contact us as soon as possible. We will do our best to accommodate your request, but availability cannot be guaranteed, and additional charges may apply.
- Changes by Us: We reserve the right to make changes to the tour itinerary due to unforeseen circumstances, such as weather conditions, political situations or other factors beyond our control. Suitable alternatives will be provided.
6. Changes in Prices
Confirmed prices may change due to:
- Failure to pay deposits or full payments on time
- Government charges, taxes or levies necessitating price adjustments
- Changes in tour packages, meal upgrades, special requests, hotel stays, room types or the number of persons
7. GST and Additional Fees
All bookings are subject to GST as required by Australian law. Additional services or requests during the booking process may incur extra fees. Please review your booking carefully for applicable charges.
8. Deposits and Payment
- A deposit of 20% of the quoted tour price is required to hold the tour date, except for Day Tours, which require full payment. For Day Tours, no deposit is required unless specified by our team.
- For other tours (e.g., exclusive, private, personalised, corporate, school, sports, or pre-wedding experiences), a deposit of 20% is required to confirm the booking. Final payment must be made at least 14 days prior to departure. If booking within 14 days of the tour, full payment is required immediately. Deposits are non-refundable in the event of changes of mind or cancellations.
9. Payment Options
Payments can be made via cash, direct deposit or internet transfer. For cash payments, please visit our office. For direct deposit or internet transfer, please contact our team for bank details.
10. Cancellation Policy
You are allowed to cancel your booking at any time provided that the cancellation notice is communicated to Wavecrest Tours team in writing form. The cancellation will only take effect when we have received your notice in writing to us and will be effective from the date when you received confirmation of cancellation letter by us.
If the cancellation has been confirmed by both parties, cancellation fees will apply according to the following cases: Cancellation Fees for Day Tour

If a tour or other travel service is cancelled by Wavecrest Tours, we will first endeavor to reschedule your tours with free of charge. If this is not possible we will refund you the amount you paid for the tour or other travel service.
11. Tour Package
- Tour Meal: Meals or drinks are not included unless otherwise stated or pre-ordered. Refreshments can be purchased during the day. Please inform the tour guide in advance if you have specific needs.
- Luggage Allowance: No luggage storage is available for day tours. For multi-day tours, a maximum of 25kg per person applies unless otherwise indicated.
- Age Range: Adult rates apply to travellers aged 12 years and older. Children under 12 qualify for child rates. Infants (under 3) are permitted, but please inform us before booking.
12. Pick-up and Drop-off Service
It is your responsibility to be at your selected pick-up location at least 15 minutes before departure. Failure to be on time may result in missing the tour. Wavecrest Tours cannot be held responsible for passengers who fail to load.
13. Travel Insurance
We highly recommend all passengers have travel insurance coverage. Please refer to our Travel Insurance guidance for details.
14. Passports, Visas, and Health Requirements
For day tours, it is your responsibility to arrange your visa, passport, and health documentation. Visa assistance is not offered for day trips. For longer tours with overnight stays, visa support may be available and will be stated in the tour details. Ensure all documents are valid and up-to-date before your trip. 15. Limitation of Liability
Wavecrest Tours acts as an intermediary between travellers and suppliers (hotels, transport providers, etc.). We are not responsible for personal injury, illness, damage or additional costs incurred during your trip except where caused by our negligence.
16. Force Majeure
Wavecrest Tours is not liable for cancellations or changes due to circumstances beyond our control, such as:
- Natural disasters
- Political unrest or strikes
- Terrorism
- Pandemics or other public health emergencies
Alternative arrangements may be offered, but refunds or compensation are not guaranteed.
17. Age and Health Requirements
Some tours may have specific age or fitness requirements. Please review the tour description for details. You are responsible for ensuring you meet the necessary health standards for your selected tour.
18. Special Requests
If you have any special requests (dietary, accessibility, etc.), please inform us at the time of booking. We will make reasonable efforts to accommodate your needs but cannot guarantee all requests.
19. Code of Conduct
To ensure the enjoyment and safety of all travellers, participants must follow the tour guide’s instructions and respect local customs, fellow travellers and the environment. We reserve the right to remove any individual from a tour without refund if they act disruptively.
20. Governing Law
These terms and conditions are governed by the laws of Western Australia, including the Australian Consumer Law (ACL) under the Competition and Consumer Act 2010 (Cth) and any relevant tourism regulations. Any disputes arising under this agreement shall be subject to the exclusive jurisdiction of the courts of Western Australia.
